ABOUT THIS INTEGRATION

Stop Maintaining Two Versions of Your Business

Most companies using both Salesforce and QuickBooks are effectively running two separate businesses — one in their CRM and one in their books. Sales closes a deal in Salesforce. Finance creates the invoice in QuickBooks. Someone emails payment status back to sales. It’s slow, error-prone, and completely unnecessary.

A properly built Salesforce–QuickBooks integration eliminates that gap. Customers, invoices, products, payments, and AR data flow automatically between systems — so sales always knows who’s paid, finance never has to re-enter a deal, and your close process gets dramatically faster.

Cloud Nexus designs and implements QuickBooks integrations as part of our broader Salesforce practice. We handle the field mapping, error handling, sync logic, and ongoing support — not just the initial connection.

Bi-Directional Sync

Customers, invoices, payments, and products stay in sync between Salesforce and QuickBooks — automatically, in real time.

Invoice Automation

Closed Salesforce opportunities auto-generate QuickBooks invoices — no manual entry, no copy-paste, no delay.

Unified Reporting

Combine CRM pipeline data with QuickBooks financials to give sales and finance a single source of truth.

Custom Field Mapping

Map any Salesforce field to any QuickBooks field — products, classes, departments, custom segments.

Workflow Automation

Trigger QuickBooks actions from Salesforce events — deal stages, approval processes, or custom criteria.

Audit & Error Handling

Sync logs, failure alerts, and reconciliation dashboards so you always know the state of your financial data.

The Double-Entry Problem — And How We Fix It

A pattern we see at nearly every company running Salesforce and QuickBooks side by side without a proper integration.

THE PROBLEM

Finance Was a Bottleneck. Sales Didn’t Have the Answers. Everyone Was Frustrated.

A technology company with 60 people had Salesforce for their sales process and QuickBooks Online for accounting. The moment a deal closed, the work doubled: the AE logged it in Salesforce, then emailed finance to create the invoice in QuickBooks. Customers would call asking about invoice status, and sales had to ask finance. Finance was spending 12+ hours a week just on data hand-offs. A botched sync meant a deal fell through the cracks — and they didn’t find out until the customer called 45 days later.

Finance manually re-keying every invoice from Salesforce into QuickBooks
No visibility into which closed deals have actually been invoiced or paid
Sync errors silently dropping transactions for days before anyone notices
Duplicate customer records piling up across both systems
Sales team can’t see AR aging or payment status without asking finance
Month-end close requiring a full reconciliation sprint just to match the two systems
THE FIX

We Built a Real Integration — Not Just a Connector

We mapped every data flow between their Salesforce org and QuickBooks Online — customers, products, opportunities, invoices, payments, and credit memos. We configured bi-directional sync with custom field mapping to match their product catalog, QB classes, and department codes. We built an AR aging component right into the Salesforce Account page so sales could see payment status without ever leaving CRM. We added monitoring and error alerts so finance knew immediately if any transaction failed to sync.

Salesforce opportunity → QuickBooks invoice, automatically on stage close
Payment status from QuickBooks visible directly on the Salesforce account record
Sync failure alerts and auto-retry logic so no transaction is ever silently lost
Custom field mapping handles complex pricing, classes, and department coding
Customer records created once in Salesforce, synced to QuickBooks instantly
Sales team sees real-time AR aging, outstanding balances, and payment history in CRM
Products and services catalog kept in sync so line items always match
THE OUTCOME

Results in the First 90 Days

12 hrs → 1

Finance hours/week on data hand-offs

100%

Invoice accuracy — zero missed deals

Same day

AR visibility for sales team in Salesforce

“Our finance team went from spending most of their week on data entry to actually doing accounting. Sales can now see invoice and payment status right in Salesforce — we don’t get those ‘did they pay yet?’ emails anymore.”

— COO, Technology Company

“We had a connector before but it was always breaking. Cloud Nexus built something that actually works — with real error handling. We haven’t had a missed invoice in six months.”

— VP of Finance, Professional Services Firm

WHAT WE BUILD

Every Integration We Build Includes

We don’t just flip a switch. We design the integration architecture, configure every mapping, and make sure it holds up in production.

Discovery & Data Mapping Workshop

We document every object, field, and flow between your Salesforce org and QuickBooks instance before writing a single line of configuration.

Customer & Contact Sync

Accounts and contacts created or updated in Salesforce sync to QuickBooks customers — with deduplication logic built in.

Opportunity-to-Invoice Automation

Define the exact stage, record type, or criteria that triggers invoice creation in QuickBooks — with line items, terms, and class coding.

Payment Status in Salesforce

Invoice sent, paid, overdue, and partial payment status surfaces directly on the Salesforce Account and Opportunity record.

Products & Price Book Sync

Salesforce product catalog and QuickBooks items stay aligned — including pricing, descriptions, and tax codes.

Monitoring, Alerts & Ongoing Support

Sync logs, failure notifications, and a reconciliation dashboard give you full visibility — plus we’re here if anything ever needs adjustment.

OUR APPROACH

Integrations Break When

They’re Rushed. We Don’t Rush.

Most off-the-shelf connectors get you 80% of the way there — then fall apart on edge cases, custom fields, or complex pricing logic. We build integrations that handle your actual business, not a generic use case.

Whether you’re on QuickBooks Online or QuickBooks Desktop, we’ve seen the patterns that cause integrations to fail and we design around them from the start.

1

Integration Audit

We review your current Salesforce data model and QuickBooks chart of accounts to understand exactly what needs to connect and in what direction.

2

Field & Flow Mapping

We document every data point that needs to sync, how conflicts should be resolved, and what triggers each automated action.

3

Build & Configuration

We configure the integration platform of choice (or recommend the right one for your stack), implement custom logic, and test every scenario.

4

Parallel Testing

We run the integration in test mode alongside your existing process, validating every record before cutting over to live data.

5

Monitoring & Handoff

We set up sync dashboards, alerts, and documentation — then train your team to manage it independently or stay on for ongoing support.
